1. Booking procedure and confirmation

All bookings must be submitted through our official application process. A booking is confirmed only when we confirm acceptance and receive the required payment. Verbal bookings are not accepted.

6. Waste and rubbish

Traders must remove all trade waste from the site and must not use on-site public bins for trade waste. We may charge a reasonable cleaning or waste-removal fee if rubbish is left behind.

7. Emergency contact

Traders must provide a secondary emergency contact who will not be present at the event, for use in the event of injury, illness or an early departure.

10. Adverse weather and force majeure

If an event is cancelled because of severe weather or circumstances beyond our reasonable control, including a pandemic or national emergency, fees may be transferred to a future date but are not refundable.

11. Security and Martyn’s Law

Traders may be required to attend briefings about security, suspicious activity and emergency procedures. Traders must follow all applicable requirements under the Terrorism (Protection of Premises) Act 2025, commonly known as Martyn’s Law, together with site-specific safety and resilience instructions.

12. Behaviour and conduct

Abusive, aggressive or discriminatory behaviour is not tolerated. A trader acting inappropriately may be required to leave immediately and may be excluded from future events.

13. Refusing applications or cancelling bookings

We may refuse an application or cancel a trader’s place if these terms are breached or conduct undermines the event. Any refund will depend on the circumstances, the seriousness of the breach and applicable law.

14. Data protection and communication

Legal and regulatory summary

Applicable requirements may include the Consumer Rights Act 2015, Food Safety Act 1990, food-hygiene regulations, Health and Safety at Work etc. Act 1974, Terrorism (Protection of Premises) Act 2025, UK GDPR and Data Protection Act 2018.
